If Your Plans Change

Our cancellation and refund policy

We completely understand that sometimes plans change, particularly when you are arranging a retreat months in advance or travelling from overseas.

Our cancellation policy is designed to be as clear and fair as possible, while also allowing us to make the arrangements needed to provide the retreat.

Your Deposit

Once your booking has been accepted, your deposit secures your place at Retreat for the Soul.

  • US guests: $500
  • UK guests: £400

Your deposit forms part of the total cost of your retreat.

The deposit is non-refundable, subject always to any statutory rights that may apply to your booking.

If Your Plans Change Shortly After Booking

If you have only recently booked and your circumstances change, please contact us as soon as possible.

We will always explain the cancellation terms that apply to your booking.

Nothing in this policy affects any statutory cancellation or refund rights that may apply.

5 February 2027

Payments are non-refundable, subject to applicable statutory rights.

If You Cancel Before 5 February 2027

If you cancel your retreat place before 5 February 2027, payments you have made towards your retreat will be refunded, less your $500 / £400 deposit.

Your deposit is non-refundable because your place has been reserved and arrangements will have begun based upon the confirmed number of guests attending.

If You Cancel From 5 February 2027

From 5 February 2027, payments made towards your retreat are non-refundable, subject to any statutory rights that may apply.

Retreat for the Soul is intentionally a small, intimate residential retreat with limited places.

A cancellation closer to the retreat can therefore be difficult to refill, particularly because many of our guests may be travelling internationally and need sufficient time to arrange flights, travel, time away and other commitments.

By this stage, arrangements will also be progressing for accommodation, food, excursions and the retreat programme.

For these reasons, we strongly recommend taking out appropriate travel insurance as soon as your booking is confirmed.

Transferring Your Place

If you find that you are unable to attend, please speak to us before assuming that your place is lost.

Where reasonably possible, we may allow your booking to be transferred to another suitable person.

Any transfer must be discussed with and agreed by the retreat organisers before the replacement guest attends.

Any reasonable costs or conditions genuinely arising from the transfer will be discussed with you before the transfer is completed.

Exceptional Circumstances

We know that life does not always fit neatly into a cancellation policy.

If something exceptional happens, please contact us.

Although we cannot promise that a refund will be possible outside the terms of this policy, we will always consider the circumstances fairly and discuss whether any reasonable options may be available.

If We Have to Cancel the Retreat

In the unlikely event that Retreat for the Soul is cancelled by the organisers, we will contact all booked guests as soon as reasonably possible.

Any refund, alternative arrangement or other remedy will be handled in accordance with the circumstances, the retreat booking terms and any applicable legal rights.

We strongly recommend that guests do not rely upon the retreat organisers to cover independently arranged travel expenses.

Flights, additional hotels, visas, insurance and other travel arrangements made separately by guests remain the guest's responsibility, except where responsibility legally rests with the retreat organisers.

For this reason, appropriate travel insurance is strongly recommended.

Changes to the Retreat

Occasionally we may need to make reasonable changes to the retreat programme.

This might happen because of:

  • weather
  • circumstances affecting an excursion
  • supplier or facilitator availability
  • circumstances outside our reasonable control
  • the practical needs of the retreat or group

Minor changes to the programme do not automatically create a right to a full refund.

We will always aim to preserve the overall quality, experience and intention of Retreat for the Soul.

Nothing in this section affects any legal rights that may apply in the event of a significant change.

Optional Excursions

During the retreat, guests may have the opportunity to join optional external excursions, including planned visits to Stonehenge and Glastonbury.

These excursions are not included in the Retreat for the Soul investment and are paid for separately by attendees who choose to take part.

Details, availability and costs will be provided separately.

As these experiences involve external venues, transport and/or third-party providers, arrangements may occasionally need to change because of circumstances outside the retreat organisers' reasonable control.

Choosing not to participate in an optional excursion does not alter the cost of the main retreat.

Travel Disruption

Guests are responsible for arranging their journey to and from the retreat.

Guests travelling from overseas are particularly encouraged to allow appropriate time for international travel and onward travel to Somerset.

We strongly recommend appropriate travel insurance covering circumstances such as:

  • illness
  • cancellation
  • flight disruption
  • missed connections
  • delayed travel
  • baggage problems
  • other circumstances that may prevent or delay attendance

If you experience travel difficulties, please contact us as soon as reasonably possible.

Travel Insurance

We strongly recommend that every guest arranges suitable travel insurance as soon as their retreat place is confirmed.

International guests should ensure that their chosen policy is appropriate for travelling to the United Kingdom and for the type and value of trip they are booking.

It is the guest's responsibility to check the terms and level of cover provided by their chosen insurer.

The retreat organisers cannot guarantee that an insurance provider will reimburse a particular claim.

If You Arrive Late or Leave Early

If you arrive after the retreat has begun or choose to leave before the retreat finishes, we cannot guarantee a refund for accommodation, meals, activities, excursions or other elements of the retreat that you do not use.

If exceptional circumstances arise, please speak to us and we will consider the situation fairly.
